Xephix Ledger — Legal

These Terms of Service (“Terms”) are a binding agreement between you and Xephix Technologies Private Limited (“Xephix,” “we,” “us,” or “our”) governing your access to and use of Xephix Ledger, including our website, applications, remote desktop streaming, and related services (collectively, the “Service”). By signing in or using the Service, you agree to these Terms and our Privacy Policy below. If you use the Service on behalf of an organization, you represent that you have authority to bind that organization.

Description. Xephix Ledger is a hosting platform. Organizations access isolated Windows desktop environments through a web browser. Customers upload and run their own licensed accounting or business software inside their tenant. Xephix does not sell, distribute, or sublicense third-party application software.

Accounts. You must provide accurate information, keep credentials confidential, and notify us of unauthorized use. You must be at least 18 (or the age of majority in your jurisdiction). Organization administrators manage users, roles, and licenses within their tenant.

Your responsibilities. You are responsible for valid licenses for all software you install or run, compliance with vendor terms, company data, backups, user access control, and lawful use of the Service. You must not attempt unauthorized access, abuse the platform, circumvent seat or storage limits, or use the Service for illegal content.

Your content. You retain ownership of company files, transfers, prints, and other data you store in your tenant (“Your Content”). You grant us a limited license to host, process, back up, and display Your Content solely to operate the Service, as described in our Privacy Policy.

Availability. The Service may require scheduled maintenance (including container or infrastructure updates). We aim for high availability but do not guarantee uninterrupted access, compatibility with every customer-supplied application, or recovery beyond configured backups.

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE MAXIMUM EXTENT PERMITTED BY LAW, XEPHIX DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED. TO THE MAXIMUM EXTENT PERMITTED BY LAW, OUR AGGREGATE LIABILITY ARISING FROM THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE GREATER OF (A) AMOUNTS YOU PAID US IN THE 12 MONTHS BEFORE THE CLAIM, OR (B) ONE HUNDRED US DOLLARS (USD 100). YOU AGREE TO INDEMNIFY XEPHIX AGAINST CLAIMS ARISING FROM YOUR USE OF THE SERVICE, YOUR CONTENT, OR YOUR VIOLATION OF THESE TERMS OR THIRD-PARTY RIGHTS.

We may suspend or terminate access for security reasons, non-payment, breach of these Terms, or if we discontinue the Service, with reasonable notice where practicable.

These Terms are governed by the laws of India. Disputes are subject to the exclusive jurisdiction of the courts in Kolkata, West Bengal, India. We may update these Terms by posting a revised version; continued use after the effective date constitutes acceptance.

Xephix Technologies Private Limited is the data controller for personal data processed in connection with Xephix Ledger. Registered office: 59/2, Block-C, Bangur Avenue, Kolkata – 700 055, West Bengal, India (CIN: U62013WB2025PTC284577). This section describes Ledger-specific processing; our company privacy policy also applies to all Xephix services.

What we collect. Account and organization data (company ID, username, role, authentication events), session cookies (httpOnly) to keep you signed in, usage and device information (e.g. IP address, browser type) for security and operations, and billing data if you subscribe to a paid plan (payment card details are handled by payment processors, not stored by us).

Company data. Accounting files, transfer uploads, print jobs, and other content you create in your isolated tenant is stored within your organization's environment. It is not shared across organizations. We process it only to provide hosting, backups, support, and incident response.

How we use data. To authenticate users, operate and secure the Service, manage organizations and seats, respond to support requests, comply with law, and prevent fraud or abuse. We do not sell personal data.

Sharing. With service providers (hosting, email) under contract; within your organization according to roles you configure; when required by law; or in connection with a merger or acquisition subject to the same privacy commitments.

Retention & security. We retain data while your account is active and for a reasonable period thereafter for backups, legal compliance, and dispute resolution. We use technical and organizational measures including encryption in transit, access controls, and tenant isolation. No method of storage or transmission is completely secure.

Your rights. Depending on your location, you may have rights to access, correct, delete, or port your data, or to object to certain processing. Contact us using the details below. You may also lodge a complaint with a supervisory authority where applicable.

International transfers. Data may be processed in India or where our providers operate. Where required, we use appropriate safeguards for cross-border transfers.

Cookies. We use essential cookies for session management. Disabling them may prevent sign-in. We may use analytics to improve the product.

The Service is not intended for children under 18. We may update this policy by posting a revised version on this page.

Xephix is not affiliated with, endorsed by, or sponsored by any accounting software vendor. Customers supply their own licensed installers; we provide infrastructure only.

Your organization is responsible for:

• Valid licenses for all software you run
• Compliance with vendor terms (seats, multi-user, remote access, etc.)
• Backups and access control for company data

All third-party trademarks and product names belong to their respective owners. References describe interoperability only.
